Ending board pack chaos

Most board weeks fail in the inbox: last-minute swaps, dual versions, and directors who are never sure they have the right file. The fix is operational, not heroic.

Where chaos comes from

Email is a distribution channel, not a system of record. Every forward and every “v3 final FINAL” creates a second truth. Directors prepare from whatever arrived last — which may not be what the chair sees in the room.

What “one current pack” means

Publish once to a shared pack. Updates replace the previous version for everyone with access. Annotations stay with the reader; the materials stay coherent. The board office stops chasing who opened which attachment.

What changes the week before

Prep time goes into the content, not into reconciling files. Late changes are visible as updates, not as private side channels. On meeting day, the room shares one run of materials.
